Workflows, built once.

A workflow is a question-and-report template. Define the questions once; any engineer can run it any number of times, then Quickler builds the PDF.

Anatomy

Parts of a workflow

Inputs

Questions

What the engineer answers: text, number, photo, voice note or yes/no.

Output

Report

The PDF generated automatically from the answers.

Trigger

Sends

Manual by default. Scale plan adds scheduled sends.

Writing good questions

Keep it tight on a phone

  1. 1

    Be direct

Photo of the gas meter reading, not a paragraph of preamble.

  2. 2

Only ask what the report needs

Every extra question is friction on a phone screen.

  3. 3

    Prefer yes/no and photos

Pass/fail renders cleanly; one clear photo beats ten lines.

Limits and editing

No cap on runs

Every paid account includes unlimited workflows and unlimited reports; you add your whole team and only pay for who actually works, since dormant users are free. There is no cap on runs. Edit questions any time; runs in progress keep their version, new runs pick up the changes. Voice notes in reply to text questions are transcribed automatically.

A workflow is a question-and-report template. Define the questions once; any engineer can run it any number of times.

Parts of a workflow

  • Questions (inputs): what the engineer answers. Types: text, number, photo, voice note, yes/no.
  • Report (output): the shareable web report and permanent record generated from the answers, with optional PDF export.
  • Trigger: manual by default. Scheduled sends are on the roadmap.

Writing good questions

  1. Be direct. "Photo of the gas meter reading" not "Please take a picture once you've confirmed which meter is in use."
  2. Only ask what the report needs. Every extra question is friction on a phone screen.
  3. Use yes/no where you can. "Pass / fail" renders cleanly; freeform text often doesn't.
  4. Use photos. One clear photo beats ten lines of description, especially for compliance.

Workflows and runs

Every paid account includes unlimited workflows and unlimited reports. You add your whole team and only pay for who actually works, since dormant users are free, and there is no cap on runs. Send each workflow to as many engineers on as many jobs as you like.

Editing

Change questions any time. Runs already in progress keep the version they started with; new runs pick up the changes.

Voice notes

Engineers can send WhatsApp voice messages in reply to any text question. Quickler transcribes them automatically and includes the text in the report.
